Some Terms:
Facilitation Team – This is the RGB Roadshow Facilitation Team; currently Elizabeth and Joe Lacroix - but may extend further than the on-site Founding Partners and include others on site (such as essential Referrers) or those back at the home office.
Referrer - Anyone with direct RGB Workshop experience conducted by the Touring Partners who chooses to connect (normally via e-mail, Twitter, or directly) with anyone they believe would be interested and well served by an exposure to the RGB Technology at a location outside Hampton Roads.
Sponsor (Host or Hostess) - Normally, this is the decision-maker who has interacted with the referrer to schedule the event, and normally assigns the Point-of-Contact. The words "Sponsor or Host" may also apply to the organization for which the event is provided.
Point-of-Contact (POC) - Normally, the person assigned to coordinate with the Facilitation Team to make things happen at the Event location and in the Sponsoring organization.
A. Pre-event Planning.
1. Facilitation Team and Referrer(s) - Stimulating Interest. Stimulating interest in the RGB Roadshow may take any form. The most efficient and effective methods are a combination of Conference Workshops and Exhibits and/or through an exchange of e-mails or Tweets (Invitation Samples provided - See Attachment 1, page 8). Visits to the Roadshow Web pages provide much of the information needed to make an initial decision. The web "tour" begins with http://www.ltodi.com/The_RGB_Workshop_Tours.htm and extends for several more pages that those interested can get a comprehensive understanding before they go further. Also, visit:
… the RGB Blog at http://RGBProZone.blogspot.com to engage in an ongoing dialog with other users related to RGB and applications. Periodic contests to stimulate referrals for Roadshow participation will be explained on both the Blog and the Web Site.
… the RGB Facebook page at http://www.facebook.com/pages/Quality-of-WorkLife-Consultants/138820302804718?v=wall&ref=sgm to engage in receiving and posting information about RGB-related activities.
… the QWLC LinkedIn page at http://www.linkedin.com/pub/elizabeth-joe-lacroix/0/68/658
… the RGB YouTube page at http://RGBFounders.youtube.com/user/rgbfounders to get the latest still and video feeds for those interested in RGB applications.
… the RGB Twitter system connects using RGBProZone to manage Tweets about what is happening when it's happening in the world of RGB among it's growing base of users. Twitter is the RGB source for "live" information to keep preferred users informed as conditions unfold. All contest announcements will be delivered by the Tweet. This currently includes the initial notice and subsequent reminders pertaining to both Periodic RGB Roadshow contests (See Attachment 2, page 9) and Annual RGB GEM Awards and Recognitions Celebration contests (See Attachment 3, page 11).
… the QWLC Web Site at http://www.ltodi.com for all the pertinent information and will reference resources needed to fully engage in the use of the RGB Technology.
… the QWLC Network Web Site that manages online data collection is located at http://www.QualityofWorkLife.com with its primary use for the completion of the traditional RGB Inventory at Option "B."
2. Facilitation Team - Presentation of Offer. The offer is a simple one. The Founding Partners, Joe and Elizabeth Lacroix, agree to make to 2 to 3 hour RGB Standard Workshop presentation at minimal cost on a date, time, and at a location that is mutually beneficial and that meets the participant and site preparation guidelines. The offer is fully explained online with an easy acceptance button.
3. Sponsor - Tentative Offer Acceptance. A decision is made to tentatively accept the published offer as a prelude to negotiating a date and time for the Roadshow RGB Workshop. This action is completed via phone at (757) 591-0807, e-mail to LTODI@aol.com or online at the bottom of the following page http://www.ltodi.com/the_rgb_workshop_tours_what.htm. By tentatively accepting the offer to do an RGB Workshop, what remains to be settled are the date(s) and specific location(s). In effect, this establishes intent to engage in the next two Pre-event Planning activities: scheduling and negotiating for additional features before finalizing a plan - which will formalize a commitment.
4. Sponsor and Facilitation Team - Scheduling. Scheduling means establishing an agreement on a specific location (city, town, etc.) and date with times. A two-date window may have as many as four actual events scheduled at times that would permit reasonable breaks between sessions at the same or close locations. Since Roadshows are part of a tour that may incorporate several locations in succession, for more than one host organization, some coordination and jockeying may be necessary before plans can be finalized.
5. Sponsor and/or POC with the Facilitation Team Client Lead - Optional Negotiations. The whole purpose of this Roadshow concept is to expose as many potential continuing-users (people and organizations) as possible along a single route that has desirable travel destinations for the touring partners - a win/win scenario! Under ideal conditions the organizations we would visit would desire to have one or more teams certified on the FastTrack in the RGB technologies so that work could continue internally. Within that context, anything is negotiable. Following this guidance places demands on both the host organization and the touring partners. All of those responsibilities can be negotiated as long as the ultimate agreement is suitable to both and continue to meet the purpose intended.
6. Facilitation Team Lead - Finalizing a Plan. When scheduling and negotiations are complete, a simple agreement will be reduced to writing and distributed to all concerned. In the event changes are required to this agreement every party identified has a responsibility to inform the others as soon as possible.
B. Pre-Event Production.
1. Sponsor and/or Point-of-Contact - Create the Invitation List. Job one is to create an invitation list for the proposed Roadshow event. Of course some may be invited as a “mandatory show” but the overwhelming preference is that people will be offered the opportunity to “sign up” having been given the opportunity to make the choice for themselves. Sponsors who would like sample invitation materials may refer to Invitation Assistance (See Attachment 4, page 12). It would be appropriate to invite more potential participants than might be expected (invite 35 to net the 25 required).
2. POC - Solidify the Participant List. Once the temporary participant list has been solidified, send a copy of this list (which may have a few more names than might be actually in attendance) attached to an e-mail to LTODI@aol.com. This list will assist with making sure that everyone has an Individual RGB Profile awaiting him or her at the Roadshow event.
3. POC - Stimulate the RGB Inventory Completion. It is recommended that each person on the temporary participant list be directed to the appropriate online RGB Inventory so that it can be submitted thereby assuring that processing is completed well before the Roadshow event. To assist in this process a SAMPLE e-mail (See Attachment 5, page 13) is provided as a starting point for the Sponsor or POC.
4. Facilitation Team - Create a Client Portal Page. To ease client Sponsor and POC interactions a special Internet page will be created that provides a one-stop location from which all connectivity can be established. The host organization will be informed of this "gateway" as soon as possible.
5. POC with the Facilitation Team Client Lead - Confirm Attendance. It will be in everyone’s best interests to let all parties know of both confirmations and cancellations right up to the day prior to the event via e-mail, Tweet, or telephone. The Roadshow Facilitation Team will be producing a variety of documents and will need the latest information to assure accuracy (individualized Handout packages, Sign-in Sheets, Completion Certificates, Optional Examinations, Attendance Reports, and Event Records).
6. Facilitation Team Lead - Finalize the Materials List. Based on negotiations completed, a final list of equipment and materials needed to complete the event successfully will be prepared and used as a loading/shipping list. If special materials will be provided by the host organization, these items will be so noted and a copy of the list provided to the POC.
7. Facilitation Team Lead - Finalize the Packing List. If the trip is via local transportation (not air travel) packing will be accomplished via an event-based packing list. Caution will be used to separate each event’s materials for ease of loading and unloading.
8. Facilitation Team Anchor - Arrange for Transportation and Accommodations. Complete the Roadshow Transition Checklist (See Attachment 5, page 14) to assure transportation and Accommodations are arranged. Consider any accommodations recommended by the host organization whenever possible so as to take advantage of local conditions. When arriving from out of town, make arrangements to notify the host Sponsor and/or POC of arrival and readiness to negate any potential anxiety.
9. POC with the Facilitation Team - Review Site Preparation Plan. For this specific Roadshow event the Facilitation Team has learned that a special room configuration works best. The Site Preparation Plan (See Attachment 7, page 15) is used by the Team and POC to determine if these arrangements will be viable at the location selected by the host organization. Whenever possible some shifting may be required to optimize the configuration by selecting alternate rooms and furniture arrangements when possible.
C. Transition to the Event Environment.
1. Facilitation Team - Load/Ship for Transport. Make and implement arrangements so as arrive at the event location at least one hour prior to the beginning of the event. In the case of shipping via a third party, make arrangement for a guaranteed arrival one day prior to the scheduled event with a confirmation on arrival required.
2. Facilitation Team - Receive Shipment(s). Make arrangements to receive and verify the contents and condition of any shipped materials and/or equipment in time to replace anything requiring replacement.
3. Facilitation Team - Complete Local Acquisitions and Production. In most cases, some local acquisitions and/or production of materials may be required the day before or the day of the event. Local acquisitions will likely include, at minimum, event prizes for participants.
4. Facilitation Team - Unload and Place. In cases where significant movement of room furnishings will be required, early arrival is a must. Unloading materials and the placement of those materials in the room when it is adequately configured is an early essential to accommodate being at ease when guests arrive.
D. Conduct of the Event.
1. Sponsor and/or POC with the Facilitation Team - Receive Guests. When participants are greeted at the door by the Sponsor/POC and a member of the Facilitation Team they feel welcomed and immediately more included. The furniture arrangement is likely to surprise participants as they arrive and is also designed to communicate that “this Event is going to be different.” The event is also characterized by about a half-hour of entertaining video presentation to “warm up the room” so it is in order for people to arrive early and just enjoy the time before the “show” begins.
2. Sponsor and/or POC - Introduce the Facilitation Team and Workshop. Whatever the introduction, it is best coming from the Sponsor and/or POC at the outset. A Brief Introduction (See Attachment 8, page 16) is available for those that are lost for words. The Facilitation Team prefers brief remarks the come from the experience of interacting with Referrers and the Facilitation Team throughout the preparation phase of this offering.
3. Facilitation Team - Implement the Standard Agenda. The Standard Agenda (See Attachment 9, page 17) is a crisp 12-Point schedule covered in 2-hours as advertised online and in the RGB literature. It is highly interactive and designed to provoke reflection about one’s own thinking and behavioral patterns, as well as provide some insight into relationships in general. The handout materials incorporate potential follow-on workshops that might be appropriate in any organization that uses the RGB Technology. The Standard Agenda exposes participants to a highly desirable organization development option.
4. Sponsor and/or POC and/or Facilitation Team - Conduct Post-event Agenda. When requested. The Facilitation Team will add from 30-minutes to an hour of application insight for selected members of the participant group. The purpose of this time is to add depth to the understanding obtained during the Standard Agenda Workshop by providing next step options for the host organization.
5. POC and Facilitation Team - Facilitate Participant Departure. Just as participants were welcomed, they must be assisted with departure as well. If the workshop has been a positive experience departure will be characterized by informal dialog with each other and with the Facilitation Team, Sponsor, and POC. Be certain that Next Steps (if any) are known and that any handouts are provided. If any "promises" are made they must be recorded as that is an integral part of follow-through.
6. POC, Sponsor, and One Participant - Immediate Clinic. This is an opportunity to conduct a fresh clinic with those who have just gone through the Event and are apt to be willing to provide useful feedback for later use.
E. Transition From the Event Environment.
1. All – Return Condition of the Facility as Agreed and Depart. Simply stated, return the condition of the facility provided, to the standard it was when we arrived (or better).
2. Facilitation Team Lead - Load/Ship for Transport. Load all materials and equipment into the departure vehicle. If necessary deliver the materials and/or equipment to a vendor for shipment.
3. As Arranged - Transport. Complete the arrangements for shipment and ship, when necessary or transport as planned.
4. Facilitation Team - Unload, Dispose, and Restock As Appropriate. When residual material is received back “home” items will be returned to stock when the condition warrants it, equipment will be inspected and returned to storage, and appropriate materials will be destroyed by recycling when feasible.
5. Facilitation Team - Replenish. Materials in stock that are insufficient in quantity or quality (currency) require rewriting and production sufficient to meet the immediate needs of the Roadshow demand.
F. Post-Event Considerations and Actions.
1. Facilitation Team - Conduct Post-event Meeting. At least two post-event meetings will be conducted: one with the Sponsor/POC and potentially one participant, and the other with the Facilitation Team and any support personnel used. The outcome of these meetings is to collect information that will improve performance of the same or similar events in the future. All meeting notes will be included in the Event Record and distributed to all those having an interest in the event to potentially include those who may be contemplating a Roadshow event in the future.
2. Facilitation Team - Process Charts and Distribute/Post Online and Notify. After the event, the Facilitation Team will digitize the charts and post them online for participants to download if they desire. Additional links will also be listed at this site. Participants will be notified using the e-mail address or Twitter options provided at the time of registration.
3. Facilitation Team - Post Event Blog Activities. The Facilitation Team will include post-Event opportunities for Event participants to continue and the learning.
4. Facilitation Team - Manage Photographs and Videography. With permission obtained in advance (usually as the event begins) digital photographs and video will be taken during the event. At the conclusion of the event a group photo will also be taken and posted online for anyone who desires a photo to download it. Upon inspection any participant may request an individual picture to be removed.
5. Facilitation Team - Process Enrollments. Any participant who desires may enroll in an RGB Certification process before, during or after the session. If desired a brief written examination can be taken before the Facilitation Team departs as first evidence that enrollment is underway. Then complete RGB FastTrack Requirements explained and available online. The web has plenty of video that can be used to help visually demonstrate at least one approach to completing each of the segments.
6. Facilitation Team - Formalize Clinic Results. The Facilitation Team collects information from participants, the POC and the Sponsor to help determine if the Roadshow event met the expectations of all those groups. In addition, the Facilitation Team takes the opportunity to clinic the event and the performance of the Facilitation Team.
7. Facilitation Team - Update Roadshow Technology. The clinic may produce recommendations that suggest a need to update or modify the Roadshow technology. In this case the written documentation will be updated as soon as possible and implemented at the earliest opportunity.
8. Facilitation Team - Update Records and Files. Complete all documentation and assure that digital copies of all material are archived appropriately so that retrieval can be accomplished easily. Archive manual documentation chronologically so that destruction can be accomplished on schedule.
9. As Identified – Engage in FastTrack Certification Options as Agreed. At the time of enrollment, RGB FastTrack Certification Options (See Attachment 10, page 18) are identified. Unless otherwise altered, these options will be followed through to completion.
10. Facilitation Team, Referrers, and Network - Meet with Follow-on Providers if Appropriate. IF the Sponsor requests follow-on work in any host organization a meeting of the interested parties will be called to determine an appropriate course of action. The referrer will ALWAYS be involved in decisions that impact any host organization. Potentially other network members may also be involved using Client Team Guidelines (See Attachment 11, page 19) established for this purpose.

Invitation Samples
A. E-mail Invitation.
Name:
I'd like to introduce you to an organization we've been doing business with for years and with excellent results. They are owners/authors of an organization development system that has helped us improve working relationships and add clarity to the work we do. I believe they've saved us time and energy through a program of workshops and data collection that has helped us focus on needed improvements.
I could go on, but they've informed me that they are launching a new effort to expose what they do to interested organizations that might be in need of this kind of help. I know that this service and their products help in time of severe resource constraints and in times where difficulties include restructuring, consolidation, and perhaps even the aftermath of a reduction in personnel. Frankly, it's what many of us need at this time.
Here's their offer. They want to deliver a fun and insightful introductory workshop for less that $800 at your location with everything included. I can tell you without reservation that that's a very reasonable price for what they do. They also want to combine this offer with a trip they are already planning to locations that have a non-business interest to them - they love to travel! Almost any location will do the trick if there is a bit of history or local interest.
If this sounds even remotely interesting, the next step would be for you to either contact them directly at (757) 591-0807 or visit their RGB Roadshow web pages at: http://ltodi.com/The_RGB_Workshop_Tours.htm to get more questions answered.
I hope this will work out for you.

Invitation Assistance
(Recommended Wording)
Both communications may be used to achieve the ideal mix of participants.
A. Attendance Required Invitation.
You have been selected as a participant in an upcoming organizational development workshop titled simply "The Fundamentals of RGB" presented by the Quality of WorkLife Consultants (QWLC). The workshop has been recommended to us by an organization similar to our own that has been using this technology successfully for years. The core of this technology addresses organization capacity - the ability to find and fix what might otherwise limit our ability to fully achieve our purpose and missions by the most effective means. Much of what we will learn is fundamental to organization relationships, culture, and alignment.
The introductory showcase will allow us to participate first hand before any decisions are made about continuing. You may find out more about this workshop and related options (such as RGB Certification) by visiting the main Roadshow web site at http://www.LTODI.com/The_RGB_Workshop_Tours.htm .
If you are interested in becoming RGB Certified this workshop will satisfy the first requirement (pending brief examination results at the workshop conclusion) you may be asked to continue to acquire Certification for this technology in our organization in the near future. If you are able to join us, there are advance requirements that must be met, so I will appreciate your positive response as well. If for any reason you are unable to join us on MONTH, DAY, YEAR at TIME please respond immediately.
B. Attendance Optional Invitation (may be a broad communication).
We will be conducting a 2 to 3-hour workshop designed to help us develop our workforce, especially through these times of considerable challenge. The workshop is titled simply "The Fundamentals of RGB" presented by the Quality Of WorkLife Consultants (QWLC). This organization is based in Newport News. Virginia. The workshop is a foundational prelude to progressively relevant designs that focus on our greatest needs.
The first two hours are standard. The third hour is an open forum on how we can best use this foundational knowledge to bring about the kind of changes we need and want in our organization. We have been encouraged to invite a broad spectrum of interests from among our workforce to help us get the most from this short presentation. Although some participants will be pre-selected, we are hopeful that many more will want to attend.
Those who have a strong interest in continuing study to pursue an RGB Certification will be encouraged to undergo a short examination at the conclusion of the workshop to potentially begin a qualification process. The workshop will take place on MONTH DAY, and YEAR beginning at TIME. If you are interested in joining us at that time you are encouraged to respond quickly as seating is limited.

Client Team Guidelines
A. Referrer Options.
1. Release. Referrer elects to have no further involvement with the host organization.
2. Retain by Agreement in a Specified Capacity. The Referrer(s) elects to continue with a connection to the host organization. It is recommended that the results of negotiations for this option are reduced to writing and that eventually the Sponsor be involved if participation is to be active as a member of an Intervention Team.
B. Mentor/Consultant Follow-through Selection.
1. Pre-decided. The Referrer has already established a consulting or mentorship with the host Sponsor/organization.
2. Negotiated. The Sponsor/organization may select a QWLC network associate or accept a recommendation from the Founding Partners. In any event the final selection is based on negotiations amicable to all concerned.
C. Potential On-site Development Options.
1. Residencies. Residencies may be conducted on-site to further certify eligible candidates to meet the needs of the host organization. Residencies are normally conducted in five-day increments.
2. Cycling 10-Stage Annual Process. The deep change technology option that uses RGB as a foundation is normally a three to five year commitment with 10-Stages delivered each year. It is an intensive intervention requiring considerable commitment, yet it traditionally yields the highest return-on-investment.
3. Leadership, Management, and Supervision (LMS) Orientations and Exercises. There are 25 specific Topics that can be delivered to selected LMS on a regular recurring basis that predictably alter LMS behaviors to more desirable and consistent to the workforce's well being and the organizations purpose and mission claims of both customer service/product capability and workforce capacity development and recovery.
4. Other. As negotiated.
